This Refund and Cancellation Policy ("Policy") outlines the terms and conditions under which you may cancel or seek a refund for products or services purchased through our Platform at https://www.fills.ai.
FILLS AI CONSULTANCY is committed to ensuring customer satisfaction. We process all refunds in compliance with the Reserve Bank of India (RBI) guidelines and applicable consumer protection laws.
BY MAKING A PURCHASE ON OUR PLATFORM, YOU AGREE TO THE TERMS OF THIS REFUND AND CANCELLATION POLICY.
2. Cancellation Policy
2.1 Cancellation Timeline

2.2 Cancellation Conditions
Cancellation requests will be considered if:
- The request is made within 7 days of placing the order
- The service has not yet been initiated or delivered
- The product has not been downloaded or accessed
2.3 Cancellation Restrictions
Cancellation requests may NOT be entertained if:
- The service delivery has been initiated
- Digital products have been delivered or accessed
- Custom development work has commenced
- The cancellation window has expired
- The product/service was purchased during a promotional sale (unless defective)
2.4 How to Cancel
To request a cancellation:

- Include your Order ID, registered email, and reason for cancellation

- We will acknowledge your request within 24-48 hours
3. Refund Policy
Payment Gateway Refunds
All refunds are processed through PhonePe Payment Gateway in compliance with RBI guidelines. The refund will be credited to the original payment method used during purchase.
Note: Refund processing time may vary depending on your bank or payment provider.
3.1 Refund Eligibility
You are eligible for a refund if:
- The service/product delivered does not match the agreed specifications
- There is a defect in the service quality as per the service level agreement
- The service was not delivered within the agreed timeline (where applicable)
- Technical issues on our end prevented service delivery
- Duplicate payment was made for the same order
3.2 Refund Timeline
- Request Review: 2-3 business days
- Refund Approval/Rejection: Within 5 business days of request
- Refund Processing: 5-7 business days after approval
- Credit to Account: 5-10 business days (depending on bank/card issuer)
Total Time: Approximately 15-20 business days from request to credit
3.3 Refund Amount
The refund amount will be calculated as follows:
- Full Refund: For cancellations before service delivery
- Partial Refund: For partially delivered services (based on work completed)
- Pro-rated Refund: For subscription cancellations (based on unused period)
Note: Payment gateway transaction fees (if any) are non-refundable.
4. Non-Refundable Items/Services
The following are NOT eligible for refunds:
- Completed Services: AI consulting and development services that have been delivered and accepted
- Custom Development: Bespoke solutions that have been developed as per specifications
- Digital Products (Post-Download): Software, reports, or documentation after they have been accessed or downloaded
- Training Sessions: Completed training, workshops, or consultation calls
- API Access: Services where API keys have been generated and activated
- Third-Party Services: Products or services purchased from third-party vendors on your behalf
- Transaction Fees: Payment gateway processing fees and transaction charges
- Promotional/Discounted Items: Products purchased under special promotions (unless defective)
5. How to Request a Refund
Step-by-Step Process
- Contact Us: Email nithin@fills.ai with subject line "Refund Request - [Order ID]"
- Provide Details:
- Order ID/Transaction ID
- Registered email address
- Date of purchase
- Amount paid
- Reason for refund request
- Supporting documentation (if applicable)
- Review: Our team will review your request within 2-3 business days
- Decision: You will receive an email notification about the approval or rejection of your refund
- Processing: If approved, the refund will be initiated within 5-7 business days
- Confirmation: You will receive a refund confirmation with transaction details
6. Failed/Pending Transactions
In case of a failed transaction where money has been debited from your account:
- The amount will be automatically refunded within 5-7 business days as per RBI guidelines
- If the refund is not received within 10 business days, please contact us with your transaction details
- For UPI transactions, refunds are typically faster (within 24-48 hours)
Tip: Always keep a screenshot of failed transaction messages and bank notifications for faster resolution.
7. Subscription Cancellation
7.1 Monthly Subscriptions
Cancel at least 24 hours before the next billing date to avoid charges. No refund for the current billing period.
7.2 Annual Subscriptions
Pro-rated refunds may be available for the unused portion, subject to a 15% cancellation fee.
7.3 How to Cancel Subscription

8. Dispute Resolution
If you are not satisfied with our refund decision:
- Contact our Grievance Officer within 7 days of receiving the decision

- For unresolved disputes, you may approach the appropriate consumer forum or regulatory authority
